Alice Hawkins Community Projects C.I.C.

Alice Hawkins Community Projects C.I.C. is a group of volunteers formed to support each other in times of Covid-19 outbreak and beyond, and will hold your data in accordance with the UK General Data Protection Regulation and the UK Data Protection Act (2018).

We will process your data to

  • Administer a volunteer database;

  • Deliver aid to service users, including administrative support for those services or referral to other support agencies; and

  • Contact you with regard to any matter arising from our discussions on how support and aid can be offered.

Data we process

  • Data we get about where you are, and your contact details;

  • What we learn about you from telephone calls, texts, Whatsapp messages, letters, emails, and conversations etc. between us including health data; and 

  • Any permissions, consents, or preferences that you give us. 

Why we can process your data

The law says we must have one of these reasons:

  • When the law requires it; 

  • When it is in our legitimate interest;

  • When you consent to it; or

  • When it is in your vital interests

Where you consent to us using your data, you can withdraw your consent at any time and we will stop using your data. If you wish to do that, please message us.

A legitimate interest is when we have a business reason to use your information. But even then, it must not unfairly go against what is right and best for you. Our legitimate interests are:

  • Providing a volunteer service;

  • Providing support and aid; and

  • Keeping our records up to date

Sharing Your Information

Alice Hawkins Community Projects C.I.C. will share your data with local volunteers, other local aid organisations, and health and social care bodies in order to provide the support and aid that you need. We will only share the minimum data necessary.

Alice Hawkins Community Projects C.I.C. Group will share your data with public authorities if it is a legal requirement, if it is a safeguarding issue, if it is in your vital interests (e.g. a life or death situation), or with your consent.

Alice Hawkins Community Projects C.I.C. will not sell your personal data to any other external organisation or individual or share your data with any other third party unless required to do so by law or as explained above.

Where we store your data

Data is held on securely passworded documents on shared drives or on encrypted systems such a WhatsApp.  Volunteers have been given data protection and safeguarding training.

How long will we keep your data?

Data will be retained for as long as support and aid is needed and then securely disposed of. 

Complaints or queries

Please tell us if you think we are mis-using your data or if we have had a data breach. 

If you remain unhappy with how we have dealt with your complaint, you may contact the Information Commissioner's Office at www.ico.org.uk.

Access to personal information

You can find out if we hold any of your personal data by making a ‘subject access request’. If we do hold information about you, we will:

  • give you a description of it; 

  • tell you why we are holding it; 

  • tell you who it could be disclosed to; 

  • tell you where we got it from; and 

  • let you have a copy of the data.

It is free of charge to submit a request. We may only refuse if it is manifestly unfounded or excessive. We have a month to answer you.

If we do hold information about you, you can ask us to 

  • correct any mistakes;

  • delete data we hold on you that we no longer have a legitimate need to use;

  • restrict the use of the data temporarily if you think it is wrong or we should not have it;
